Request, review, approve, reconcile.
PTO in a spreadsheet works until it doesn't.
Requests by text
"Can I have the 14th off?" lands in a thread at 10 PM. Nobody writes it down. A dispute follows.
Balances in your head
How much vacation does Emily have left? Depends who you ask and which sheet they open.
Approved blind
Three people off the same Friday, approved one at a time. The shift is uncovered.
Payroll disagrees
PTO hours in payroll don't match the spreadsheet. Someone was overpaid, someone underpaid.
Requests and balances in one place.
Set the policy once. Balances stay current.
Create policies for vacation, sick, personal and unpaid time — different rules for different roles, teams or locations if you need them. Balances accrue from the policy and update when time is approved and taken, so what the employee sees is what payroll sees.
- Multiple time-off types with their own rules
- Policies by role, team or location
- Balances visible to employees and managers in real time
Employees request from the app. You decide in one tap.
A request shows the dates, the hours, the balance after, and who else is off those days. Approve or deny; the employee is notified and the decision is logged on their record. Blackout periods for peak weeks flag requests that fall inside them.
- Balance after and coverage impact on every request
- Blackout dates for peak weeks
- Decision history on the employee record
Approved time off blocks the schedule automatically.
Because scheduling is the same app, approved time off shows as unavailable while you build the week, and coverage shows while you approve. You never assign someone who's on vacation, and you never approve the third person off the same Friday by accident.
- Scheduling sees approved PTO instantly
- Coverage by job, department or location on every request
- One record per employee across schedule, time and PTO
PTO reconciled on every pay period.
Approved time off flows into the pay period with regular and overtime hours. Payroll review checks that PTO balances match before you export, so the hours you send to QuickBooks, ADP, Paychex or Paycom include the right paid time off — every time.
- PTO hours on the timesheet alongside worked hours
- "PTO balances reconciled" check in payroll review
- Export includes approved time off

Time off and PTO, answered plainly.
How do employees request time off?
From the PunchPro app. They pick the type and dates, see their balance and the balance after, and submit. They're notified when it's approved or denied.
Can I have different policies for different people?
Yes. Policies can be set by role, team or location — for example, more vacation for crew leads, or a different sick-time policy for a second state.
How do accruals work?
Each policy defines how time is earned. Balances update from the policy and when approved time is taken, so employees, managers and payroll all see the same number.
Can I see coverage before I approve?
Yes. Every request shows who else is off those days and whether shifts are uncovered. Approved time off then shows as unavailable in the schedule builder.
Can I block requests during peak weeks?
Yes. Set blackout dates and PunchPro flags requests that fall inside them for review.
Does time off flow into payroll?
Yes. Approved PTO hours appear on the timesheet with worked hours, payroll review checks that balances reconcile, and the export to QuickBooks, ADP, Paychex or Paycom includes them.
Does PunchPro handle FMLA or state sick-leave compliance?
No. PunchPro records and organizes time off under the policies you set. Paid-leave rules vary by state and city — confirm what applies with your advisor.
