Five steps from blank page to signed handbook.
PunchPro helps you draft and manage your handbook. It isn't legal advice — have your attorney or HR advisor review policies before publishing.
Why most small businesses don't have a handbook — or have one nobody signed.
Too expensive to write
An HR consultant quotes four figures; a template download needs a week of edits. So it never gets done.
The 2019 PDF
It exists in a shared drive. Half the crew was hired after it was written and never saw it.
No proof of acknowledgment
When there's a dispute, "we told everyone" isn't the same as a signed, dated acknowledgment.
Policies change, signatures don't
A new phone-use or PTO policy goes out by text. Nobody re-signs. The handbook and reality drift apart.
Drafted for your business. Signed by your team. Kept current.
A full first draft from a few questions.
Tell PunchPro your industry, state, team size and which topics to include — PTO, safety, vehicles, overtime, remote work, phone use. You get a complete outline with starter language for every section, written for hourly teams, not a corporate HR department.
- Sections for time & attendance, PTO, safety, vehicles, conduct, acknowledgment
- Time-tracking section already references clocking in with PunchPro
- Shorten, make friendlier, or add an example with one click per section
Every section is yours to change.
Edit the draft like a document. Rename sections, delete the ones that don't apply, paste in policies you already have. When your advisor marks up a paragraph, change it in place and publish the new version — signatures are re-requested automatically.
- Add custom sections and standalone policies
- Version history with what changed and when
- Preview exactly what employees see on their phone
Know exactly who's signed which version.
Publish and every employee gets the handbook in the PunchPro app. Each acknowledgment is timestamped and filed in their employee record. New hires are assigned the current version during onboarding, and their first punch waits until they've signed.
- Signature status per employee, per version
- One-button reminder for anyone pending
- Publishing a new version re-requests signatures from everyone
Add a policy later without rewriting the handbook.
A new job-site phone rule, a client privacy update, a seasonal scheduling policy — draft it, send it to the right group (all employees, field only, one department) and collect signatures the same way. It's filed with the handbook in every employee's record.
- Standalone policies with their own signature tracking
- Send to everyone or to a role, department or location
- Re-acknowledgment on edits, automatically
What a small business employee handbook should cover.
These are the sections PunchPro drafts by default for an hourly team. Requirements vary by state and industry — your advisor decides what's final.

A template download vs. a handbook your team actually signs.
Template or consultant

Is an employee handbook legally required?
In most places no single law requires one, but many states require specific written notices and a handbook is the usual place to deliver them. A signed acknowledgment is also your evidence that policies were communicated. PunchPro drafts and manages the handbook; your attorney or HR advisor decides what must be in it for your state.
Is the AI-drafted handbook legal advice?
No. It's a starting draft written for hourly teams in your industry and state, meant to be reviewed before publishing. PunchPro does not provide legal advice.
Can I use a handbook I already have?
Yes. Paste your existing sections in, or upload the PDF as a policy document and collect signatures on it. Many businesses start from their current handbook and use the builder to fill gaps.
How do employees sign it?
They open the handbook in the PunchPro app on their phone, read it, and tap to acknowledge. The signature is timestamped and filed in their employee record. New hires are asked during onboarding; existing employees are asked when you publish.
What happens when I change a policy?
Publish the new version and PunchPro re-requests acknowledgment from everyone. You keep the history: who signed v1, who signed v2, and what changed between them.
Can I require the handbook before someone clocks in?
Yes. In onboarding, the handbook step can be set to block the first punch, so a new hire can't clock in until they've signed.
Can I send a single policy without the whole handbook?
Yes. Standalone policies (phone use, vehicle use, privacy, seasonal scheduling) go out to all employees or a chosen group, with their own signature tracking.
Does this work for office staff too?
Yes. The builder asks what to include; remote-work, equipment and conduct sections suit desk teams, and the same signature tracking applies.
What does it cost?
The handbook builder is part of the single PunchPro plan: $39.99 per month per business plus $7 per active user per month. 14-day free trial, no credit card required.
