Create, send, sign, file. Then watch the dates.
How paperwork goes wrong on hourly teams.
The cert that expired mid-job
A tech's EPA card lapsed in March. Nobody noticed until an inspector did.
The I-9 nobody finished
Section 2 was due three days after the start date. The start date was two weeks ago.
The policy that went out by text
Everyone "got" the new vehicle policy. Nobody signed it. Now there's a claim.
Photos in a camera roll
Licenses live as pictures on a manager's phone. The manager left in June.
Every document has an owner, a signature and a date.
Signed on a phone. No account, printer or work email needed.
Offer letters, the handbook, standalone policies and custom documents go out by text or email. Employees read the full document and sign with one tap. Each signature is timestamped, versioned and filed in their record.
- Send to one person, a role, a department, a location, or everyone
- Viewed and signed timestamps per person
- Re-request signatures automatically when a document changes
I-9 and W-4 status on every new hire, with deadlines.
Onboarding tracks the I-9 step against its deadline and the W-4 against first payroll, shows the document upload, and lets you hold the first punch until the must-haves are complete. You see who's outstanding; one button reminds them.
- Deadlines tied to start date and first payroll
- Identity documents uploaded from a phone, stored encrypted
- "Blocks first punch" on any required step
PunchPro tracks form status and deadlines. Employer verification responsibilities still apply — PunchPro doesn't provide legal advice.
Expiry alerts before anything lapses — and renewals from the field.
Add any document with a date: CDL, EPA 608, OSHA 10/30, CPR, food-handler card, caregiver credential, forklift cert, state license. PunchPro warns you at 60, 30 and 7 days, asks the employee to upload the renewal, and you approve it in one tap.
- Required certs per role, so a new hire's list is right automatically
- Expired items flagged on the record, the directory and your daily checklist
- Optionally block scheduling or clock-in on an expired required cert
Every copy lands in the employee record.
Nothing to download, rename or drag into a folder. Signed offers, handbook versions, policies, hiring forms and certs sit on the Documents tab of the person they belong to, with dates and status. Export any record, any time.
- Versions kept: who signed v1, who signed v2
- Access by role — employees see only their own
- Export the whole file when someone leaves
Documents and certifications hourly teams typically track.
Requirements depend on your trade and state. These are the items PunchPro customers most often add; set which are required per role and the new-hire checklist builds itself.

Employee document tracking, answered plainly.
Which certifications can PunchPro track?
Any document with an expiry date: driver's licenses and CDLs, EPA 608, OSHA 10/30, CPR and first aid, food-handler cards and alcohol-service permits, caregiver and nursing credentials, forklift and equipment certs, state trade licenses. You name the document type and mark which roles require it.
How do expiry alerts work?
PunchPro alerts you and the employee at 60, 30 and 7 days before expiry and again when it lapses, and asks the employee to upload the renewal from their phone. You approve the upload and the date resets.
Can an expired certification stop someone from working?
Optionally. For a required cert you can block scheduling, clock-in, or both until a renewal is uploaded and approved. Managers can waive it for a specific case, and the waiver is logged.
Does PunchPro complete I-9 verification?
PunchPro tracks the I-9 step, its deadline and the document upload, and shows who's outstanding. The employer's verification responsibilities still apply; PunchPro doesn't provide legal advice.
Are e-signatures valid?
PunchPro records who signed, when, from which device, and which version of the document, and stores the signed copy. Many businesses rely on this for policy acknowledgments; consult your advisor on requirements for specific documents in your state.
How are identity documents protected?
Uploads are stored encrypted with role-based access — employees see their own, managers see their teams, owners see everything — and access is logged.
Can I upload documents I already have?
Yes. Add existing signed forms, licenses and certs to any record with their dates, and PunchPro starts tracking them.
What does it cost?
Document and certification tracking is part of the single PunchPro plan: $39.99 per month per business plus $7 per active user per month. 14-day free trial, no credit card required.
Never find out about an expired license from an inspector again.
Add your team's certs this week; PunchPro watches the dates from then on.
